The Leiden Support Desk for Migrants, (hereinafter LSM) attaches great importance to the protection of your personal data and privacy. In this privacy policy we want to provide clear and transparent information about how we handle personal data and how to safeguard your privacy.

Privacy declaration

We do everything we can to guarantee your privacy and therefore we handle personal data with care. In all cases, LSM complies with applicable laws and regulations, including the General Data Protection Regulation. This means that we:

  • process your personal data in accordance with the purpose for which they were provided, these goals and type of personal data are described in this privacy statement;
  • the processing of your personal data is only limited to those data that are minimally necessary for the purposes for which they are processed;
  • explicitly ask for your consent to the processing of your special personal data;
  • have taken appropriate technical and / or organizational measures to ensure the protection of your personal data;
  • do not pass on personal data to other parties, unless this is necessary for the implementation of the purposes for which they were provided;
  • are aware of your rights regarding your personal data, want to point this out to you and respect them.

Purpose of data processing

Your personal data will be processed by LSM for the following purposes:

Data of the client:

  • To perform services related to counseling the client related to issues of practical or business-like nature.
  • To send (digital) newsletters about LSM’s activities and meetings (we only do this with your permission).

Data of the volunteer:

  • Request a Certificate of Conduct (VOG)
  • Drafting the Volunteer Agreement
  • Drafting Non-disclosure Agreement
  • Financial Administration (possible reimbursements or remunerations) 
  • To send (digital) newsletters about LSM’s activities and meetings (we only do this with your permission).

Data of the donator:

  • Financial administration (processing donations)
  • To send (digital) newsletters about LSM’s activities and meetings (we only do this with your permission).

For the purposes mentioned above, we may request the following personal data from you:

  • First Name
  • Last name
  • Address
  • Phone number
  • Mobile number
  • E-mail address
  • IBAN and BICnr. (bank account number for donations and reimbursements or remunerations for volunteer)

Third-party data sharing

We only share personal data with third parties if you give us explicit written permission to do so. Your personal data will not be passed on to third parties without your explicit consent. In addition, we never pass on personal data to other parties with whom we have not concluded a processor agreement. Naturally, we make the necessary arrangements with these parties (processors) to guarantee the security of your personal data.

Data that cannot be traced back to the individual person can be provided to third parties for statistical and / or historical purposes.

Third-party websites

This statement does not apply to websites of third parties that are connected to our website by means of links (social media such as Twitter, Facebook).

The privacy and cookie statements of these parties apply to their own websites. LSM has no influence on this.

Retention period

LSM does not store personal data longer than necessary for the purpose for which it was provided, or as required by law. 

Upon termination of volunteer work at LSM, we will delete your data from all our systems within 14 days unless you wish to remain connected with LSM in another way.

Privacy rights of involved parties

You can send a request for access, correction, limitation, opposition, transferability of data, deletion of your personal data or withdrawal of previously given consent to the e-mail address below (see section “questions & contact”). You will receive a message from us within a maximum of four weeks after receipt of your request. Sometimes, circumstances arise, for which as a result, LSM cannot or not fully implement your request. This includes the legal retention periods.

Security

We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing. For example, we have taken the following measures:

  • All persons who can access your data on behalf of LSM are bound by their confidentiality.
  • We have a username and password policy on all our systems.
  • We test and evaluate our measures.
  • Our volunteers have been informed about the importance of the protection of personal data (see also under ‘Confidentiality Statement’).

Rights regarding your data

You have the right to inspect, rectify or delete all personal data that we have about you. You can also object to the processing of your personal data (or part thereof) by us or by one of our volunteers or employees. You also have the right to have your provided data transferred by us to yourself or directly to another party if desired. You will receive a message from us within a maximum of four weeks after receipt of your request. Sometimes circumstances arise, for which as a result, LSM cannot or not fully implement your request. This includes the legal retention periods.

Complaints

If you have a complaint about the processing of your personal data or if you want to rectify or delete your data, we ask you to contact us. You always have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). This is the supervisory authority in the field of privacy.

Adjusting the privacy statement

LSM reserves the right to change the content of this privacy statement at any time without prior notice. The amended privacy statement will be published on LSM’s websites.

Nondisclosure Agreement

Volunteers of LSM have a duty of confidentiality with regard to everything of which he / she knows or can reasonably understand that it is in the interest of LSM or its clients to maintain confidentiality in this regard (including personal data). The volunteer is expected to make no statements about these matters, even after the voluntary work has ended.
